VAPilot ("the Application") is an AI-assisted visual abstract generation platform designed to support editorial workflows for the Journal of Vascular and Interventional Radiology (JVIR) and related scientific publications.
1. Information We Collect
VAPilot collects only the minimum information necessary to operate the service:
- Account Information: Username and email address provided during registration.
- Editorial Content: Manuscript abstracts and associated images uploaded by editors.
- Usage Metadata: Timestamps and action history associated with editor accounts.
No patient identifiers or Protected Health Information (PHI) are permitted or collected. Users are strictly prohibited from uploading PHI or confidential patient data.
2. How Information Is Used
Information collected by VAPilot is used exclusively to:
- Authenticate users and maintain secure access
- Generate AI-assisted summaries and visual abstracts
- Maintain an audit trail of editorial actions
- Improve system reliability and performance
3. AI Processing
Uploaded editorial content may be processed by third-party AI services (e.g., OpenAI, Google Gemini, or open-source LLMs) for the sole purpose of generating structured summaries.
No uploaded content is used to train public AI models by VAPilot.
4. Data Storage
- User accounts and logs are stored in a secure database.
- Uploaded images and generated visual abstracts are stored temporarily for editor access.
- Data retention policies may be adjusted as part of pilot evaluation.
5. Data Sharing
VAPilot does not sell, rent, or share user data with third parties except as required to provide AI processing services.
6. Security
Reasonable administrative and technical safeguards are used to protect data against unauthorized access, alteration, or disclosure.
7. User Responsibilities
Users are responsible for ensuring that uploaded content:
- Contains no PHI or confidential patient data
- Is suitable for editorial and publication workflows
- Complies with institutional and journal policies
8. Changes to This Policy
This Privacy Policy may be updated periodically. Continued use of the Application constitutes acceptance of any changes.
